The enrollment list lives in WhatsApp and in the front desk's notebook, you count each class's capacity on your fingers, and halfway through the term you find out one class took two students more than it can hold. When the term ends, you also do not know exactly which students did not come back, or why.

The student paid tuition, but the lesson happens in the same kind of place as ten other free groups. Handouts and videos get passed around the next day, and someone who never enrolled ends up with the same files. Nothing stays on the record about attendance, about grades, or about who watched the session video.

A parent, or the student, wants to see what the past few months amounted to, and you have nothing to show beyond the teacher's spoken opinion. When it is time to renew for the next term, having no record costs you.

Teachers are paid by the session. A session that got rescheduled, a session that ran short, and a session only four people showed up to each come with their own account of what happened. As long as sessions and attendance are not recorded anywhere, you have to settle the same points again every month.
One term at an institute, from enrollment to report card
Import the term's enrollments in one go
You do not have to create students one at a time. Hand over the enrollment spreadsheet and the accounts, the classes, and the memberships all get created together. Rows with a problem are set aside and reported with a reason so you can correct them.
Set a capacity and a teacher for each class
You write down each class's capacity, and once it is full the next enrollment is not accepted. The front desk does not have to keep track; the system stops it. Each class has its own teacher as well.
Lay the term's sessions out on the calendar
Each class's sessions get a date and a time, and that same session is the container for the live class, the quiz, the assignment, and the lesson video. The term's schedule is in front of the teacher and the students from the start.
Hold the class live
The live room opens in the browser: video, audio, screen sharing, and a shared whiteboard. Depending on the plan the session is recorded, and the file stays in the institute's own storage.
Let attendance record itself
After each live session, attendance is marked from how long each person was in the room, and any row can be changed by hand to present, absent, late, or excused. If you have published the session video, watching that video can count toward attendance too.
Publish the session video to that same class
Post the lesson as an offline class with a set release date. Nobody can open it before that date, and after it only the members of that class can. Views and watch time are recorded as well.
Run online quizzes and grade the papers
Build a quiz from your own question bank, with negative marking, a deadline, and a time window. Multiple-choice questions are scored on the spot, and the teacher grades the open-ended answers. On higher plans AI suggests a score, but the teacher has the last word.
Hand out the term report card
The report card's columns fill themselves in from attendance, quizzes, and assignments, and anything that happens outside the system, like a final project or the teacher's comments, gets added by hand. Each student sees their own report card in their own account.
Do not start the next term from zero
The question bank, the lesson videos, and the assignments all stay where they are. Next term you create a new class and put the same material to work again. You are not meant to write the questions over from scratch every term.
What matters most to training institutes
Capacity limits instead of counting by hand
Give each class a capacity so that once it fills up, the next enrollment is turned away. It makes no difference whether the front desk adds one person by hand or you import a hundred from a spreadsheet; rows past the limit do not go through. Each class's capacity shows in the class list, and the current enrollment count sits above that class's student roster. For a class with no ceiling, set the capacity to 0.
Mock exams with negative marking
Set negative marking for the whole quiz, for one bank, or even separately for a single question. You can also hold the results back until the quiz window closes, so a student who finishes early does not pass their score along to the rest.
Anti-cheating, with a clear line
A few things the server guarantees and the browser cannot work around: the order of questions and options differs for each student, the question text arrives as a noisy image instead of as text, and the server closes the deadline. The rest is only a report. Leaving the page, unusually fast answers, and several people signing in from one location get flagged, and the judgment is yours.
Lesson videos, your own asset
Videos stay in the institute's dedicated storage and open only for the members of that class. A student who did not enroll for the next term is not a member of the class, and so has no access.
The institute's own messenger instead of a public group
Create a group for each class, set up a channel for institute announcements, and keep private teacher and student conversations in the same place, next to the class whose records already live there.

If you also want to teach your staff how your own institute does things, create a class for the staff and publish your videos there as an offline class, the same way you do for students. Anything still left over reaches support through a ticket.

The files stay in the institute's dedicated storage, and how long recordings are kept depends on the plan, up to 365 days. Access is tied to class membership: as long as a student is a member of the class they can watch, and the moment that membership is removed they can no longer open it. If you want to offer the same videos again next term, publish them in the new class.
